How Booking Works

From enquiry to event day, here is exactly what to expect.

Send us a message with your preferred date, booking type, and group size. We will check availability and send you an invoice.

Invoice sent

You will receive an invoice with full pricing details.

48 hours to pay or the slot is released

Pay 50% reservation fee

Your 50% reservation fee secures your date. Once paid, the booking is confirmed and your date is locked in.

Remaining balance due

The remaining 50% is due before your event date, along with the £200 refundable damages deposit.

Event day

Enjoy your event. After inspection, your £200 damages deposit is returned within 1–3 working days.

Refundable Damages Deposit

Required for every booking. Returned within 1–3 working days after event inspection. Only deducted if damage occurs or the space is not left as found.

Cancellation Policy

30+ days	Full refund or free reschedule
15–30 days	50% refund or one free reschedule
7–14 days	Non-refundable. £25 admin fee for reschedule
Under 7 days	Non-refundable. Non-transferable
No-show	Full amount charged

Late Fees

There is a 10-minute grace period after your booked end time. After that, a fee of £50 per 30 minutes applies. Plan your setup and pack-down within your booked slot.

DJ Supervision Fee

If you bring your own DJ, a £95 supervision fee applies. This covers sound monitoring, neighbour management, and equipment oversight. Your DJ must provide their own speakers/PA. Sound must finish by 10 PM.

Setup and Pack-Down

All setup, activities, and cleanup must be completed within your booked time. No extra time is available unless pre-arranged. The studio must be left as you found it. Rubbish left behind: £50 deducted from deposit.

48-Hour Invoice Window

Once you receive your invoice, you have 48 hours to complete payment. If the invoice is not paid within this window, the booking is automatically released and the slot becomes available to others.

Common Questions

What is the capacity? +

We can seat up to 25 guests for intimate events. For larger groups (corporate workshops up to 40), please enquire and we will confirm the setup that works best.

Can I bring my own food and drinks? +

Yes. Our kitchen includes a fridge, 5-hob stove, microwave, and double oven. Outside catering is welcome. We do not provide cooking utensils, and the space must be left as you found it.

Is parking available? +

Paid parking is available on nearby streets. Free parking after 6:30 PM and all day on Sundays. There is a 30-minute loading zone at the entrance for drop-offs.

Can I view the studio before booking? +

Of course. We offer viewing slots so you can see the space in person before committing. Send us a message to arrange a time. Viewings are free and usually take about 15 minutes.

Can I request changes to my booking? +

Changes must be requested at least 7 days in advance, subject to availability. Please contact us as early as possible.

What happens if something gets damaged? +

Your £200 damages deposit covers any issues. If the space passes inspection, the full deposit is returned within 1–3 working days. If repairs or extra cleaning are needed, costs are deducted from the deposit.

Do you provide cooking equipment or utensils? +

The kitchen appliances (stove, oven, fridge, microwave) are included. However, we do not provide cooking utensils, pots, pans, or ingredients. Please bring what you need for your event.

Invoices are valid for 48 hours. Unpaid bookings are automatically released

2. Booking Times

Hire period begins and ends at the agreed times in your confirmation
Setup and breakdown must occur within the booked time frame

3. Grace Period and Late Fees

10-minute grace period after the agreed end time
After grace period: £50 per additional 30 minutes

4. Changes to Booking

Changes must be requested at least 7 days in advance, subject to availability

5. Cancellations

30+ days: Full refund or free reschedule
15–30 days: 50% refund or one free reschedule
7–14 days: Non-refundable. £25 admin fee for reschedule
Under 7 days: Forfeited, no rescheduling
No-show: Full booking amount charged

7. Studio Usage

Studio must be left as found. Cleaning fees may apply

8. Liability

Hibiscus Studio is not liable for any personal injury, loss, or damage during hire.

9. Prohibited Activities

Smoking, illegal substances, and unsafe activities are strictly prohibited.

10. Damages Deposit

£200 refundable damages deposit required per booking
Returned within 1–3 working days after event inspection

11. Availability

Maximum 4 teaching days per month

12. Acceptance
